Service Terms and Conditions for Societies and Associations
Free Trial Period
You can try out the System at no charge for as long as you want. The System activated for you is fully functional and operational.
Setup Time Required
Once you register, your account will be set up and activated in about 24 hours.
Depending on the number of units in the Society or Association, member database setup will require 1-2 working days after we get your member list in an Excel Spreadsheet.
Please refer to the Master Member Database for guidance on data fields. You can have data fields added, edited or removed as required by your State’s co-operative society rules and regulations, or you wish to manage.
Making Payment
If you do not wish to continue after trial, you pay nothing and we will deactivate your System. If you wish to continue, we will send you the annual 12-month invoice for making payment by bank transfer.
Payroll Accounting
Payroll Accounting is an optional feature that is available at an extra cost based on the number of employees. Not all Societies/Associations will require it and you can always use the journal entry route to enter salary and deductions.
Billing Quantity
For the purpose of billing, one member equals one apartment or office or shop or other units in the Society/Association irrespective of whether this member holds more than one apartment/office/shop/unit. In other words, if a member holds two apartments, he/she will be counted as two for calculating the number of members.
Goods & Services Tax
The prices stated are exclusive of GST or any other applicable taxes. Being under exemption limit, GST is currently not charged by us. For the purpose of GST, the place of delivery of our service is the State of Goa.
Paperless Operation
While our System has the facility to print almost all the reports, statements and invoices, we at Coop Manager don’t use paper anywhere in providing our services.
Using Own Domain Name
If you wish to use your own domain name for the frontend pages, we will set it up for you. You will need to change the DNS settings for which instructions will be provided.
Operating Systems
Windows XP and some old mobile operating systems are not supported anymore. In a setup using your own domain name it may result in SSL certificate warning, although, if proceeded, the pages may still be rendered. The suggestion is to upgrade the OS to a newer version.
Cards and Stickers
Printing cost for plastic access cards or car stickers for parking control is not included in the service charge. It is done by an outside company and you will pay their charges directly.
Managed Services
Provided by independent QBO trained personnel under Coop Manager’s supervision, Managed Services is an optional service you will pay for only if you use it.
Service Level
The Service Level Agreement can be read here: Service Level. Real and constant effort is made to improve uptime and response time.
Service Variation
The details of services provided is mentioned here: System Features. Some variation is possible due to constant improvement in the efficiency of the services delivered. While new features are added from time-to-time, we may disable certain features that have become dated. Also, one or more services may be switched off temporarily for maintenance and code updating.
Cancellation & Refund
You are free to cancel the service anytime you wish. With an exception for the first year, we will refund you the amount paid, proportionately, for the remaining period. A backup copy of your data will be provided on cancellation.
