Member Records per State Law
The Member Database is set up in conformity with the requirements of the respective State’s co-operative society rules and regulations. All data that is required by law is recorded, as online versions of the prescribed forms and registers.
Master Member Database
A Master Member Database is created containing all the data fields that are required and you wish to manage for each member. From this database, all the prescribed registers and directories like Directory of Members, List of Members, Register of Members, Register of Allotments, Register of Shares, Register of Nominations, Register of Property, Register of Transfers, etc are automatically generated making it a versatile tool to manage your members. It also avoids duplication of work since many of the data fields are common across these registers.
Customisable Editing and Visibility
Data fields, its editing capability and visibility is customisable and each Society or Association can decide on its own data format.
While members can edit some of the data fields like first and last name, contact details, bio and photograph, ownership or membership data having legal implications can be edited by the Society/Association management only per procedure set by them.
Member Data Security
System is hosted on Bank-like SSL-Secured
servers encrypting data communication with your PC, tablet or smartphone. Stored passwords are encrypted with an extra mix of “Salt” making it extremely difficult for hackers to trace it. Limits imposed on the number of login attempts to prevent brute-force attacks to crack passwords.
Optional Two Factor Authorisation (2FA) for extra secure login process for Society and Association Admins requiring, in addition to login and password, an authorisation code randomly generated in your mobile phone.
Servers located in a world-class data centre that is protected by 24-hour surveillance. All servers have mirrored disks simultaneously storing data in realtime on multiple high-reliability, fault-tolerant disks. Should one disk fail, the server keeps running without loss of data, the failed disk replaced on the running server and re-mirrored. Frequent database backups stored in multiple physical locations.
Historical Records
The member database maintains a historical record of all ownership title changes, the date when an existing owner ceased to be a member, and particulars of the new owner who joined as a member for that property. The existing member’s account is locked but the data is maintained. The database is searchable by first name, last name and unit number but more filters can be added if so desired.
Document Repository
Cloud-based repository of member documents like sale deeds, share certificates, nomination papers, mortgage/lien registration, etc. linked to each member’s profile. Cloud storage enables sharing of files and folders with a right combination of safety, security and ease of access. In addition, lets you automatically synchronise files and folders across your desktop, laptop, tablet and smartphone.
Creating Member Database
On submission of the required initial member data in an Excel Spreadsheet, all your members will be entered into the database in one go. Please refer to the Master Member Database for guidance on other data fields. You can have data fields added, edited or removed as required.
